How to Convert Scanned Documents to Searchable PDFs
Scanned documents are images, but OCR can make them searchable. This guide explains how to convert scanned PDFs to text-searchable files.
Use OCR software like Adobe Acrobat Pro: open the scanned PDF, go to “Enhance Scans,” and select “Recognize Text.” Choose the language and output format. Our tools don’t currently offer OCR, but you can use free alternatives like Tesseract or online services. For batch processing, use ABBYY FineReader or similar tools. Ensure the scan quality is high (300 dpi or more) for better OCR accuracy. If the document has multiple languages, select them in the OCR settings. After OCR, save the PDF as “Searchable Image” or “Clear Text.” Verify the recognized text by copying and pasting into a text editor. For sensitive documents, use offline OCR tools to protect privacy. If the OCR accuracy is low, try improving the scan quality or adjusting settings. Remember, OCR may not recognize handwritten text or unusual fonts. For legal documents, double-check critical information. Converting to searchable PDFs makes documents easier to index and search, especially for large archives. Always keep the original scanned file as a backup.
